Office 365 Frequently Asked Questions

What is the cloud?
Cloud-based computing provides the ability for storing and accessing data and programs over the Internet instead of your computer's hard drive. Cloud services are easy to recognize:

  • Are not installed on your computer - usually connect to them via a web browser
  • Keep your data with the service - not on your computer - so you don't have to worry about backing it up, losing it or moving it when you switch computers
  • Are accessible from any device with a web-browser--laptops, smartphones, tablets--so you can reach the service when you are mobile.

Most of us are familiar with some of the cloud services such as GMail, Dropbox, Facebook and YouTube. Microsoft Office 365 offers BYU–Hawaii similar services for Email, file storage and collaboration.

Is my data secure on cloud services?
Yes, we all want to make sure that information that is shared in email is only shared with the intended recipients of that information. Please see Microsoft Top 10 List of compliance.

What is Office 365?
Office 365 is an online (cloud) email service from Microsoft offering 50 gigabytes of mail storage and other collaborative features, such as shared Exchange calendars.

Is that bigger than my current email quota?
YES. Previously, faculty and staff were limited to a 1GB mailbox size. With the new system, mailboxes can be 100 times larger. You should no longer get the message to delete and clean up your mailbox.

Will my email address change?
NO. You will keep your existing email address. However, to login to the new system, faculty and staff will have to use your BYUH Net Id with @byuh.edu (e.g. BYUHNetid@byuh.edu) as the username. This will only affect email and logging in to any Office 365 features such as OneDrive or downloading Office 365 for desktop. Please continue to login to other systems, such as mybyuh using your BYUH Net Id.

Will my password change?
Definitely not for faculty and staff. Please continue to use your BYUH Net Id password

Who is managing my Office 365 email and voicemail?
Microsoft is now managing BYU-Hawaii's email and voicemail. BYUH IT administrators will manage the day to day maintenance like adding new user account.

I am using Microsoft Outlook. Will I need to reconfigure it after the migration?
No. You will just need to restart your outlook application. It will prompt you to login with your username and password when you start the application. Please login as BYUHNetid@byuh.edu and your BYUH Net ID password. Check the remember password then click Ok. Who do I contact when I am having problems with my email or voicemail?
Please continue to contact BYU–Hawaii IT staff at (808) 675-3921 if you are experiencing any problems. Our IT staff will troubleshoot the problem and will escalate it to Microsoft if we are not able to resolve the issue you are experiencing.

Will I have to change the settings on my mobile device after the migration to Office 365?
Yes. Most devices will need to be reconfigured and some may even require you to delete the account and then recreate it. For instructions on how to configure your device, please visit Client Configuration.

What is the new server address if I want to configure my own device?
If you would like to configure your own device the new server address is outlook.office365.com.

Can I still use email.byuh.edu to access my email in a web browser?
If you go to http://email.byuh.edu you will be redirected to the new Outlook Web Access (OWA) address http://go.byuh.edu

How do I login to my email once I am migrated to Office 365?
Please use your BYUHNetid@byuh.edu and password to login to your email.

Do I need to upgrade my browser?
Windows users should upgrade to at least Internet Explorer 8. Most modern browsers will work fine for web mail.

What are the limits of the new system? Can we change them?
Here are the new limits under Office 365. These are set by Microsoft and we cannot change any of them.

  • Quota: 50 gigabytes
  • Maximum number of recipients per message: 500
  • Maximum number of attachments sent/receive: 25 megabytes
  • Maximum number of recipients per day: 10,000

These are very high limits but in a few rare cases, you may encounter one of them, especially if you frequently send emails to large numbers of recipients. If you reach 10,000 recipients in a day, your email will be locked for 24 hours by Microsoft and we will not be able to unlock it.

Since the migration, I have found addresses that do not work (undeliverable email). I have noticed that if I use the recipient's name from the "To:" line (autocomplete), I will get that error, but if I search for the name in the email directory and use that, then it is fine.
Items stored in the cache of your copy of Microsoft Outlook may not worked correct it with the new server. To correct this, open Outlook with your new profile (the one pointing to Office 365) and do the following:

  • Go to File > Options
  • Select Mail
  • Scroll down to Send Messages
  • Cick on "Empty Auto-Complete list"

This will remove all the "remembered" email addresses that now have an invalid path.

I am using Outlook 2011 for the Mac and can't access the contact stored on the server.
Unfortunately, the current version of Outlook for the Mac lacks this functionality. Until it can be fixed, you may want to move these contacts to your Mac's Address Book application and use Apple's iCloud service to sync across your devices.

I am using web access and have not migrated yet, and when people who have migrated send me email, I cannot get the attachments. How do I fix this?
There is a known issue for some email users that use Outlook Web Access with accounts that have not been migrated to Office 365. This is a known issue and only affects those using Outlook Web Access on the old email server. Email accounts that have been migrated to Office 365 do not experience this issue

Will the new system have spam filtering?
Yes,like our current system, spam filtering is built in. Unlike the our current system, though, spam will be delivered to your Junk Mail folder for you to examine, and the system will learn as you tell it some things are not junk.

What operating systems are supported?
Both Windows and Mac are supported, but check to make sure your system is up to date. You should be running Windows 7 with Service Pack 1, Windows XP with Service Pack 3 or Windows Vista with Service Pack 1 on a PC. For Mac OS X 10.5.8, 10.6.8 or 10.7.3. Will mailbox and calendar sharing permissions (delegates) be migrated or will they have to be set up again?
Delegate permission will migrate, but will require users with delegation to be migrated together. Feel free to contact Helpdesk at (808) 675-3911 if you are concerned about this and want to notify as about your needs.

Will I be able to share my calendar with a Mac user now?
Yes, you will be able to share calendar between Mac and PC users, though the sharing will need to be set up in web access, not in Windows or Mac Outlook client.

I check my mail using my iPhone/iPad. Will it work with the new system?
Yes, but you may have to enter some new server information for the device to find your mailbox in its new location. Please visit Client Configuration for instructions to configure your devices.

What about my archived mail / PST Files?
If you are currently using PST files (Outlook archive files) they will continue to work as before, stored on your local PC, or you may choose to upload them to the server where you can access them from anywhere.

Will all my contacts, notes, etc, be transferred?
If they are stored on the server, they will be transferred along with your mail.

What else are we getting with Office 365?

Will the connection between my computer and the cloud server be secure?The email connection type (Exchange, POP, IMAP and SMTP) all support SSL encryption to secure your connection and the web mail client uses https to secure your connection.
