Physical Phone Eligibility Criteria

To ensure the efficient allocation of physical phones at BYU–Hawaii, devices will only be provided under the following circumstances:

1. VIP Request

Physical phones may be assigned to individuals in executive roles or those directly supporting executive functions. This includes:

  • Members of the President's Council
  • Administrative assistants supporting the President’s Council

2. Americans with Disabilities Act (ADA) Compliance

Individuals requiring accommodations under the ADA may be assigned a physical phone if it is necessary to support their work-related accessibility needs.

3. Common Area Phones

Physical phones may be deployed in shared spaces to facilitate communication, including:

  • Health Center (for emergency and staff use)
  • Pool area (for safety and emergency response)
  • Elevators (as required by regulations)

4. High Traffic Areas

Departments or locations with significant foot traffic may qualify for a physical phone to improve communication and operational efficiency. Examples include:

  • Security Office
  • Reception areas
  • Service desks
  • Support centers

5. Safety & Emergency Areas

To enhance emergency response and ensure quick access to assistance, physical phones will be placed in designated safety-critical locations, including:

  • Science Labs (for immediate emergency response)
  • Swimming Pool Area (for lifeguards and emergency situations)
  • Other high-risk operational zones

6. PCI Compliance – Credit Card Processing

Any department or location that processes credit card transactions and must comply with PCI DSS (Payment Card Industry Data Security Standard) may qualify for a physical phone if:

  • It is required for secure, PCI-compliant payment processing
  • It is used in an area handling sensitive cardholder data where VoIP softphones do not meet compliance standards
  • It is located in cashier or payment processing areas where card transactions occur

Approval Process

Requests for a physical phone must be submitted for approval to the IT Services Department, providing justification based on the above criteria.
