What is Workday SIS?

Workday offers software for Financial, Payroll, Human Resources, and Student information management. Workday is an enabling framework for managing the affairs of the university with self-service and administrative processes and reports. Workday Student is being implemented to replace Student Center with new dashboards and notifications.

When?

Workday SIS functionality will be rolled out during 2026 and fully live for Fall semester enrollment. Students and Faculty will continue to use the current Student Center through the Spring 2026 semester. New Students will be admitted into Workday for Fall starting in Feb 2026. Course enrollments for Fall for all Students will be done in Workday.

Why?

The current Student System(PeopleSoft) for BYUH is obsolete and in need of replacement. Workday Student is cloud-based and mobile friendly, offering increased self-service options. Employees are already using the Workday Human Resources, Payroll, and Financials platform. Student will expand the existing system functionality.

CURRENT SYSTEM WORKDAY STUDENT
Student Onboarding: Admissions sends out a checklist through email to students for them to do the ELAT exam, Title XI and other onboarding pieces. Workday Student will send students notifications on what they need to complete before coming to campus, even down to reserving a spot for their housing.
Student Saved Schedules: Students can add their courses to a Shopping Cart in Student Center. Most planning is done through Stellic. Workday Student allows students to create multiple Saved Schedules (different versions of schedules with various courses at different times). Students can choose a Saved Schedule and be registered in all courses simultaneously.
Waitlisting: The Registrar’s Office has to manually move students from the waitlist to be registered in a class. Students will be automatically moved from the waitlist to a class once an opening occurs.
Student Statements: Once a month, a Student Statement is generated, and students can view it once it is available. Students can view their statement anytime, and it displays real-time data.
Unified System: Academic Plans, class enrollments, and grades are separated into two different systems. Academic Plans, class enrollments, and grades will be all in Workday Student.
Student Privacy Settings: Students can put a privacy hold, a flag, on their account. Students will have more control over their privacy and what is shown on their directory information.

System Unification: Academic Plans, class enrollments, and grades are separated into different systems. Academic Plans, class enrollments, and grades will be all in Workday Student.
Grading: Specific date controls allow faculty to enter grades during the grading period up until the deadline. Grading in Peoplesoft is done at the end of the semester, and grade changes are made by submitting a grade change form to the Registrar's Office. Faculty are expected to initiate grade changes. Peoplesoft does not have a grade change process where grades may change automatically or according to the deadline. Date controls in Workday will allow faculty to submit grades as they do in Peoplesoft within a certain time frame. Workday also allows faculty to make a grade change in the system for up to one year. Grade changes will be routed through the Academic Deans and then to the Records Administrator. The Registrar's Office will notify students via email regarding their grade change. Registrar's office staff may change grades at any point throughout the year should it be necessary.
"I" Grade: At grading time, faculty submit the I grade along with the necessary paperwork with all that the students needs to do to complete the grade. They set a date for when the course is due, and then the Registrar's office will manually make the grade change if the student has not completed the I grade. If no date was set, then the grade is left for a year, and then the grade is changed. Incomplete grade changes will have an end date, and Workday will automatically change/lapse an I grade to F according to the Mass Grade Lapse business process. That is any student who has not had their incomplete grades resolved before the deadline will automatically receive an F. The process can only be initiated by the Registrar's Office. Students will be notified via email; a custom report will be used to manage this

Program of study entry requirements: Advisors put students in a Pre-program, and once pre-requisites are completed, then students are entered into the program, and their major is changed. (Computer Science/IT, Social Work, and Visual Arts). Pre-requisites need to be met before students can add or change into one of these programs. Advisors will follow up about additional requirements with the departments regarding portfolios before respective approvals.

Profiles: Currently, Workday only has Student Workers' worker profile. Student Workers will have a single profile within Workday that they can toggle between their worker profile and student profile for any changes and updates. Students who are not Student Workers will only have their student profile.

Login: There is no direct access for parents and guardians. Parents and guardians can have their own login and have limited access to information with granted permission.
Third-party permission: Students sign a form to give their parents or friends access to their accounts.​ The Registrar's Office allows written permission from the student on a one-time basis. A student can go into Workday and request a person to have third-party permission and can grant what they can have access to. They can also remove this whenever they want.

Project Key Dates

  • All admissions decisions for Fall 2026 will be sent from Workday to student applicants.
    Admitted students will need to respond and accept their offer in order to start matriculation in Workday.

  • New and returning students will begin onboarding process steps in Workday.

  • No changes to the current systems or processes. Enroll in classes on Stellic.
    Spring grades will be entered on PeopleSoft and available to view via Student Center.

  • Class enrollment for Fall 2026 will be done directly in Workday for all new and continuing students.
    Workday will automatically open registration windows by cohort based on seniority.

  • All student financial balances and payment tracking will be migrated from Student Center (PeopleSoft) to Workday Student.

  • Training materials such as quick guides and video tutorials are being developed and will be shared in the future. There will also be training opportunities for selected departments on specific dates.

  • Project communication will be done through this webpage and occasionally through posters, handouts, and email bulletins when fitting.

  • The major systems being impacted are Student Center (PeopleSoft) and Stellic, which both will be discontinued, and functionalities will be used in WorkdayStudent. Student onboarding checklist will also be substituted by Workday Student.

    Online payments will continue to be collected and processed via Transact Campus.
