What is Workday SIS?

Workday offers software for financial, payroll, human resources, and student information management. Workday is an enabling framework for managing the affairs of the university with self-service and administrative processes and reports. Workday Student is being implemented to replace Student Center Faculty Center, and Stellic Course Mapping.

When?

Workday SIS functionality will be rolled out during 2026 and fully live for Fall semester enrollment. Students and faculty will continue to use the current Student Center through the Spring 2026 semester. New students will be admitted into Workday for Fall starting in March 2026.

Why?

The current Student System (PeopleSoft) for BYUH is obsolete and in need of replacement. Workday Student is cloud-based and mobile-friendly, offering increased self-service options. Employees are already using the Workday Human Resources, Payroll, and Financials platform. Workday Student will expand the existing system functionality.

CURRENT SYSTEM WORKDAY STUDENT
Student Onboarding: Admissions sends out a checklist through email to students for them to do the ELAT exam, Title IX and other onboarding pieces. Workday Student will send students notifications and track progress on all takes they need to complete before coming to campus, even down to reserving a spot for their housing.
Student Saved Schedules: Students can add their courses to a shopping cart in Student Center. Most planning is done through Stellic. Workday Student allows students to create multiple saved schedules (different versions of schedules with various courses at different times). Students can choose a preplanned class schedule and be registered in all courses simultaneously.
Waitlisting: The Office of the Registrar has to manually move students from the waitlist to be registered in a class. Students will be systematically moved from the waitlist to a class once an opening occurs based on priority.
Student Statements: Once a month, a student statement is generated, and students can view it once it is available. Students can view their financial statement anytime, and it displays real-time data.
Unified System: Academic Plans & Class Enrollment data, are maintained in two different systems. Academic Plans & Class Enrollment data will all be maintained in Workday Student.
Student Privacy Settings: Students can put a privacy hold, a flag, on their account. Students will have more control over their privacy and what is shown on their directory information.

CURRENT SYSTEM WORKDAY STUDENT
System Unification: Course Load forecasting and planning, class enrollments, and grades are separated into different systems. Course Load forecasting and planning, class enrollments, and submitting grades will all be done in Workday Student.
Grading: Specific date controls allow faculty to enter grades during the grading period up until the deadline. Grading in PeopleSoft is done at the end of the semester, and grade changes are made by submitting a grade change form to the Office of the Registrar. Faculty are expected to initiate grade changes. PeopleSoft does not have a grade change process where grades may change automatically or according to the deadline. Date controls in Workday will allow faculty to submit grades as they do in Peoplesoft within a certain time frame. Workday also allows faculty to make a grade change in the system for up to one year. Grade changes will be routed through the Academic Deans and then to the Records Administrator. The Office of the Registrar will notify students via email regarding their grade change. Registrar's office staff may change grades at any point throughout the year should it be necessary.
"I" Grade: At grading time, faculty submit the I grade along with the necessary paperwork with all that the students needs to do to complete the grade. They set a date for when the course is due, and then the Office of the Registrar will manually make the grade change if the student has not completed the I grade. If no date was set, then the grade is left for a year, and then the grade is changed. Incomplete grade changes will have an end date, and Workday will automatically change/lapse an I grade to F according to the Mass Grade Lapse business process. That is any student who has not had their incomplete grades resolved before the deadline will automatically receive an F. The process can only be initiated by the Office of the Registrar. Students will be notified via email; a custom report will be used to manage this
Waitlisting: The Office of the Registrar has to manually move students from the waitlist to be registered in a class. Students will be automatically moved from the waitlist to a class once an opening occurs eliminating manual entries and bottlenecks.
Program of study entry requirements: Advisors put students in a pre-program, and once pre-requisites are completed, then students are entered into the program, and their major is changed. Pre-requisites need to be met before students can add or change certain Programs including Computer Science/IT, Social Work, and Visual Arts. Advisors will track eligibility and obtain approvals with the Program Leads regarding portfolio qualifications before assigning to student's Academic Program of choice.

Profiles: Currently, all employees have a Person record used to store bio-demo data, and a linked Worker profile in the HR system.
The Worker profile is used for hiring, emplyoment tracking, timekeeping, and payroll.
Students will have both a Person record and a Student profile. Those who gain employment at either BYUH or PCC will also have a Worker profile attached to their Person record within Workday.
Those with both Student and Worker profiles on their Person record can toggle on the landing page to access noth profiles within Workday.
Students who never become Workers will only see their student profile functions.

Login: There is no direct access for parents and guardians. Parents and guardians can have their own login and have limited access to information with granted permission.
Third-party permission: Students sign a form to give their parents or friends access to their accounts.​ The Office of the Registrar allows written permission from the student on a one-time basis. A student can go into Workday and request a person to have third-party permission and can grant what they can have access to. They can also remove this whenever they want.

Frequently Asked Questions (FAQ)

    • All student data and new configurations will be loaded and enabled in the existing BYUH Workday HR/Payroll & Financials system in March 2026.
    • Workday SIS will only be used for tasks associated with Fall 2026 and beyond.
    • Yes, all historical student data will be copied and formatted for use on Workday SIS. Inactive records older than Fall 2019 will be stored within SIS in historical PDF format.
    • Training materials such as FAQ sheets, user guides, and video tutorials are being developed and will be available closer to the launch date. In-person demonstrations and workshops will be held on specific dates to be announced in 2026.
    • Project communication will be done through this webpage, campus signage, monthly campus bulletins, and email when fitting.

    • The major systems being impacted are Student Center, Faculty Center (PeopleSoft) and Course Planning (Stellic).
    • Both PeopleSoft and Stellic will be discontinued, and replaced with completely integrated functionality in Workday Student.
    • Program Course Load planning tools will be available in SIS.
    • Students will still apply for admission to BYUH via the existing CES common application. Those who are accepted and confirm their intent to enroll in the application system will be matriculated and onboarded using Workday Student workflows. Canvas will continue to be the Learning Management System for course work.
    • Online payments will continue to be collected and processed via Transact Campus.
    • University Room Scheduling will remain the same.
    • Housing will remain on a separate system.
    • Other external integrated systems will be unaffected.

A fully functioning, modern, up-to-date Student Information System (SIS) serves as the backbone of any higher education institution, including BYUH. Because the SIS is intertwined with every aspect of the student experience, it really underscores how important a successful system implementation is to the continued viability of BYUH as an academic institution.

The project team plays a crucial role during any implementation project, including an SIS implementation project. The BYUH Workday SIS project team is responsible for ensuring the successful implementation, deployment, and adoption of our new Workday SIS. Collaboratively, the team manages the entire process of transitioning the academic institution to our new SIS system, including planning, data migration, system configuration, user testing and training, and go-live support, ensuring a smooth and effective implementation.

The project team has been working hard and is excited to deploy a more up-to-date student system in 2026.

Change Management (CM), also known as Organizational Change Management (OCM), is the structured approach to transitioning individuals, teams, and organizations from a current state to a desired future state. It’s about managing the people side of change to achieve the required business outcome. Effective change management ensures that changes are implemented smoothly and successfully, with minimal disruption.

Change management aims to support and provide a better experience to users as we change systems. Here at BYUH, we have a dedicated Change Management team responsible for overseeing the transition process and ensuring that changes are implemented smoothly and effectively, minimizing disruption to operations. This is something new for our institution and we couldn’t be more excited about it!.

There are many benefits to organizational change management. Some of them being:

Structured change management ensures that projects meet their objectives, stay on schedule, and within budget.

Proper training and support allow employees to adapt more quickly to new systems and processes, minimizing downtime and disruption.

The CM team has many tasks and responsibilities, one of which is working with and collaborating closely with the BYUH Change Agent Network (CAN).

In a nutshell, organizational change management helps create a smoother transition and facilitates in building a more agile, adaptable, and resilient organization.

A Change Agent Network (CAN) is a group of individuals within an organization who help drive and support change initiatives. These individuals, often referred to as change champions, ambassadors, or advocates, work closely with the Change Management team to ensure successful adoption of new processes, systems, or strategies.

Key Benefits of a Change Agent Network:

  1. Enhanced Communication: Change agents help disseminate information and clarify messages across the organization. 
  2. Increased Engagement: They encourage and support their peers, fostering a positive attitude towards the change. 
  3. Peer Support: Change agents provide on-the-ground support, helping colleagues navigate the transition. 
  4. Feedback Loop: They gather feedback from employees and relay it to the change management team, allowing for timely adjustments. 
  5. Credibility and Trust: Being respected peers, change agents can build trust and credibility around the change initiative. 

The current BYUH Workday SIS Change Agent Network consists of approximately 50 representatives from departments across campus. The Change Agent Network receives periodic updates about the project, provides valuable input, and helps communicate changes to their respective departments, ensuring all areas are aligned with the new systems and processes. In addition, they gather insights and feedback from their colleagues and communicate them back to the Change Management team. They aid in training and support efforts as well as model positive behaviors and attitudes associated with the SIS implementation project.

Key roles of the BYUH Workday SIS Change Agents:

  • Communicator – share information about changes coming up with your peers and staff early.
  • Liaison – between project team and eventual end-users. 
  • Advocate – for the necessity of the change.
  • Resistance Manager – be a listening ear and share concerns with this group. 
  • Coach – identify individuals who need reinforcement.

Project Key Dates

    • In preparation for new SIS functionality, the Workday HR & Financials production tenant which is shared with two other CES campuses will be divested or separated into three distinct autonomous servers. 
    • Divestiture improvements of note will remove all references to campus locations including all prefixes of “H:” or “Hawaii” on validation selection lists, processes, and reports. 
    • Single Sign on will not require you to select the campus you are located at when opening Workday since BYU Idaho and Ensign College data and configuration will no longer be on our Workday server. 
    • Process improvements are being reviewed and vetted for all configuration in HR and Finance. 
    • All admissions decisions for Fall 2026 will be sent from Workday to student applicants.
    • Admitted students will need to respond and accept their offer in order to start matriculation in Workday.
    • New and returning students will begin onboarding process steps in Workday.
    • Use Course Plans in Stellic, register for classes on Student Center, grades will be submitted using Faculty Center and viewable on Student Center through Spring term.
    • Class enrollment for Fall 2026 will be done directly in Workday for all new and continuing students.
    • Workday will automatically open registration windows by cohort based on seniority.
    • All student financial balances and payment tracking will be migrated from Student Center (PeopleSoft) to Workday Student.
    • Student’s academic history will be active on SIS.
    • Canvas LMS will be integrated into SIS for class work.
    • Students who are employed at BYUH or PCC will access both worker and student data on the same system.

2025-2026
    • Production Workday tenant Divestiture project for HR and Financials.
    • SIS project original timeline lengthened to accommodate for the production Workday system Divestiture Project which will improve the user experience in all areas of Workday.
    • SIS Project Team focus on developing training materials, writing custom reports, and continued testing.
    • Divested production tenant launch with simplified global search for process configuration and naming structures. 
    • Continue SIS implementation tenant using new divested platform configuration and new data extract workbooks of historical and active student data. 
    • Student imported data validations, functionality regression testing, Mock Semester, and Parallel Financials testing all SIS configurations and data.
